The South Asia Sustainable Development Unit (SASSD) is responsible for providing operational support and sound management of the Region's portfolio in the areas of Agriculture, Energy, Environment, Rural Development, Social Development, Transport, Water & Urban and Disaster Risk Management and Climate Change. To ensure the smooth workflow of activities within the Unit, we are seeking a highly motivated, well-organized and proactive individual for the position of Program Assistant. The successful applicant will work closely with the Agriculture and Rural Development Team and perform the following duties and responsibilities with the specific aim of supporting the South Asia Food and Nutrition Security Initiative Program financed under various Trust Funds.
Duties and Accountabilities:
Provide assistance in the implementation of the Unit's work program, some specialized support in a specific area(s), e.g. task management, procurement, database management, information technology, editorial assistance, consultant processing, and minimal support to the Lead Specialist, etc.
Establish and maintain effective working relationships with our external clients and other outside entities with whom we work closely Provide assistance, at various levels, in the preparation of Workshops and/or seminars, e.g. identifying facilities, performing all logistical arrangements in consultation with any external partners, etc.
Identify and resolve diverse issues/problems as they arise, which often requires interpretation of existing procedures and processes and independently determine appropriate applications that can help solve such issues.
Provide back-up ACS support in the absence of the primary ACS team member.
Exercise quality enhancement function for project and other documents by ensuring adherence to Unit, VPU and institutional guidelines.
Maintain and update unit project and other files (both paper and electronic), ensuring all Project documents are filed in the Bank's main filing repository (WBDocs).
Participate in developing project/product time lines, using appropriate software.
Attend meetings, draft minutes and ensure timely clearance and distribution.
Serve as an information resource on status of project/products (e.g. procurement, disbursement, audit, trust fund/co-financing, and legal issues) and draft a variety of standard project-related correspondence.
Monitor task budget/trust funds for specific projects where the successful candidate would be the lead ACS staff working with the team.
Undertake ad hoc inquiries in standard and non-standard databases, retrieve, manipulate and present data.
Participate in mission field work as required by the Task Team / Team Leader.
Work requires frequent interaction with internal and external contacts.
Performing basic office functions - sorting and distributing incoming/outgoing correspondences; Where appropriate, route incoming communications to appropriate team members.
Coordinates calendar of events, videoconferences, and meeting logistics.

Technology and systems knowledge - Exhibits excellent knowledge of Microsoft Office applications and proficiency of technology or/and systems relevant to functional area. Able to coach less experienced staff on relevant technology and systems.
Project and task management - Able to undertake diverse and complex assignments with minimal supervision and resolve competing demands. Demonstrates good organizational skills, can plan and prioritize own work and work of internal clients (e.g. manage manager's calendar).
Institutional policies, processes, and procedures - Demonstrates relevant functional knowledge and understanding of institutional priorities, policies, operational and administrative procedures, and people. Able to practically apply and guide others in policy application.
Versatility and adaptability - Demonstrates initiative and motivation to proactively learn new developments in relevant policies, procedures and technology. Is able proactively identify, prevent and/or solve problems. Able to participate in change activities and initiatives.
Office Administration - Exhibits good understanding of unit's portfolio. Able to organize, prioritize, coordinate, and monitor distribution of unit's work activities to ensure that work program is properly carried out and delivered in a timely and collaborative manner.
Client Orientation - Able to interact with clients with discretion and diplomacy. Demonstrates ability to resolve complex client related issues. Displays understanding of relevant internal and external factors and their impact to the client.

Other
- Minimum 5 to 7 years experience or the equivalent combination of education and experience.
- Ability to work independently and efficiently
- Proficient English language skill (written and spoken); and ability to edit short documents.
- Ability to pass relevant World Bank Group tests (e.g. English language, computer applications - Word, Excel, PowerPoint)
- Thorough knowledge of and proficiency in advanced functions of standard Bank technology packages is an advantage.
- Substantive and effective use of language skills, in proofreading, editing, translation and quality enhancement of documents in more than one language
- Demonstrated skills in retrieving, gathering and obtaining information from various sources (Internet, etc.) and pulling them together in a usable format
Education Requirements
Minimum High School Diploma.
