Organizational Setting and Reporting
The position is located in the Office of the Under-Secretary-General of the Department of Public Information of the United Nations. The Staff Assistant will report to the Special Assistant to the USG for DPI.
Responsibilities
- - Assists in drafting and preparation of USG talking points, speeches, messages, presentation materials and routine correspondence on a daily basis and as necessary, in English and/or French;
- Reviews outgoing correspondence for completeness, format, style and procedural and grammatical accuracy, ensuring that all correspondence is accurately prepared and sent out in a timely manner;
- Creates and maintains an information control system in the OUSG to track and ensure follow-up on requests for inputs and reference material;
- Liaises with other UN departments/offices regarding ongoing programmes and administrative matters;
- Liaises with Permanent Missions and entities outside the UN regarding meetings and ongoing programmes;
- Undertakes research, with limited supervision, for the USG and Special Assistant including the gathering of documentation for background files for USG meetings, and official travel, speeches and correspondence through the use of electronic searches and databases;
- Maintains contact with related programme areas and external entities with regard to matters requiring action to ensure timely response, and reports to the Special Assistant on actions taken, reasons for delay, and anticipated completion dates (as necessary);
- Provides temporary coverage for other secretaries/personal assistants in the Office of the Under-Secretary-General, including for managing the the USG's calendar and meetings; USG travel arrangements and processing of administrative requests; and recording incoming and outgoing correspondence in the CorLog;
- Performs a variety of administrative duties and ad hoc assignments as required by the USG and Chief of Office;
- Provides general administrative support to the Special Assistant.

Education
High school diploma or equivalent.
Work Experience
- 5 years of experience in secretarial/administrative work within the Secretariat.
- Excellent communications, writing, research and computer skills are required.
- Experience in public information and working in a front office are desirable.
Languages
Fluency in both English and French (both oral and written) is required.
Knowledge of another UN official language is an advantage
Assessment Method
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Recruitment for this position is done on a local basis, whether or not the candidate is a resident of the duty station.
Passing the Administrative Assessment Support Test (ASAT) at Headquarters or an equivalent recognised locally-administered test at a United Nations Office is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat.
