This is an exciting opportunity to work for one of the largest not for profit organisations in South Australia, with a vibrant multi-disciplinary staff, all dedicated to delivering valuable community service programs.
To assist 2 General Managers in their demanding role, we are seeking a Personal Assistant who is highly skilled and organised with great initiative and relevant experience.
The successful candidate will be a capable, confident individual who will work primarily for one General Manager as well as support another. The person will draft routine correspondence; prepare reports; keep the GMs informed on all relevant matters; manage their diaries and travel; prepare briefing notes and generally seek to reduce the administrative demands on their time.
As an energetic and focused Personal Assistant, key responsibilities will include:
* Electronic diary management
* Screen and attend to emails and general correspondence
* Prepare spread sheets and/or PowerPoint presentations
* Prepare agendas, material for meetings and record minutes of meetings
* Initiate follow-up actions for General Managers arising from meetings, reports, requests from external stakeholders etc.
* Arrange travel and accommodation and ensure invoices are approved and costed
* Organise meetings and special functions i.e. agendas, venues, papers, invites, catering, key speakers, materials etc
* Preparation and processing of accounts and purchase requisitions
* Credit card expense summaries
* Assist in the administrative process of service agreements, contracts, variations, applications / submissions for grants etc
* Co-ordinate and compile monthly reports for the General Managers for submission to the CEO
To be considered for this role, you'll have:
* Proven experience as a Personal Assistant providing high level administration support
* Proven initiative to work with minimal direction
* Exceptional organisational and time management abilities to manage competing priorities and meet deadlines.
* Advanced documentation and formatting skills combined with advanced knowledge of MS Office suite (especially using Microsoft Outlook - electronic diary management)
* Flexibility to work with the changing requirements and changing demands of a dynamic business.
* Exceptional verbal and written communication skills.
* Possess a high attention to detail and deal with sensitive and confidential information.
* Basic knowledge of accounting
* Experience in working within the Not-for Profit sector is desirable.
