Background / General description
International Finance Corporation (IFC), a member of the World Bank Group, fosters sustainable economic growth in developing countries by financing private sector investment, mobilizing private capital in local and international financial markets, and providing advisory services to business and governments.
The South Asia department is looking to add a senior Administrative and Client Service (ACS) staff to its Mumbai based team. This role would include but not limited to supporting a team of Investment Officers in the Manufacturing, Agribusiness and Services group and the Manager of the unit.
Duties and Accountabilities
- Providing high quality support to the Sector Manager, including scheduling of appointments, monitoring documents for signature/approval; filing; monitoring and follow up of issues and priorities; handling incoming correspondence and internal and external queries; drafting and handling routine correspondence.
- Implementing office procedures and guidelines to ensure smooth and efficient business operations.
- Planning and managing the Unit's support services and resources to meet the needs of the work program.
- Undertaking ad hoc and division/department-wide assignments, as assigned by the Office / Sector Manager.
- Updating and Monitoring the Industry Pipeline, ensuring all data on i-desk is accurate and up to date
- Managing and organizing Concept and Internal review meetings, ensuring all guidelines are met
- Orienting new staff at all levels regarding Unit's administrative operations, work guidelines, and Unit culture
- People Management- Handling a wide variety of situations and conflicts, mediating among staff at all levels and using sound judgment to determine appropriate actions.
- Providing leadership/supervision/coaching and mentoring to the administrative staff, including staff development, team building, work flow management and quality control.
- Supervising Administrative responsibilities performed by staff and ensuring that all timelines are met.
- Assisting the Office Manager with day to day administrative responsibilities
- Managing outsourced staff in terms of monitoring performance, leave and training requirements.
Selection Criteria
- High School degree and a minimum of 6 -8 years’ relevant experience.
- Supervisory/leadership skills, including the ability to recruit, empower, motivate, mentor, train, and supervise staff effectively in a multi-cultural environment, identify and analyze performance problems, give feedback in a timely manner, and collaborate with other team members
- Ability to build a solid network of contacts with secretaries and counterparts in clients, leading corporate, banks and financial institutions
- Ability to process, handle, and communicate matters of a sensitive and confidential nature, and ability to deal effectively and diplomatically with staff, clients, and external contacts at all levels.
- High degree of professionalism, initiative, resourcefulness, independence, reliability, adaptability, motivation, judgment, and flexibility.
- Ability to establish and maintain excellent work relations in a team environment; effective conflict resolution skills.
- Strong verbal and written communications skills.
- Proven skills in delivering work through efficient and effective planning and administration, including demonstrated administrative abilities in planning, organizing, problem-solving, personnel management, analysis and decision making, personal organization and management.
- Ability to handle concurrent activities, prioritize work, and perform well under pressure.
- Proficiency in information technology skills (Microsoft Word, Excel, Internet/Intranet Management, PowerPoint, Lotus Notes, SAP, LARS, TRS).
