Background / General description:
Position: Extended Term Temporary (Receptionist)
The East Asia and Pacific (EAP) Region presents a dramatic illustration of the principal global dynamics, opportunities and risks of the 21st century. After making the fastest progress in growth and poverty reduction of any region around the world in the last quarter century, some countries in the region are poised to become middle-income, and others are preparing to join the small group of high-income countries. Such rapid transformation is leading to the largest shift in rural-to-urban population in human history, generating rising inequality within and across countries, while leaving some countries, sub-national regions and groups behind. The continuing global financial crisis also threatens the sustainability of the gains with countries across the region being forced to address the resulting impacts on macroeconomic stability, economic growth, employment and poverty.
The Myanmar Context
Located in a dynamic region and richly endowed with natural resources, Myanmar has tremendous economic potential. However, Myanmar today suffers from a legacy of economic mismanagement, poor governance and international isolation, resulting in high poverty rates, declining human capital and environmental degradation. There has been progress in a range of areas under a new civilian government that took power following elections in 2011. The new government has pursued a policy of national reconciliation and economic reform. The latter has included moves to liberalize the economy, including through reform of the exchange rate regime, regulatory reform, and increased transparency. In response to these changes, the Bank has begun re-engaging with the country, and an important milestone was passed with the clearance of IDA arrears in January 2013 paving the way for a full reengagement with the World Bank Group.
SCOPE OF WORK:
This position is responsible for the professional and efficient managing of visitors, telephone calls and messages, as well as a variety of clerical duties that support the operation and presentation of a professional office.
Duties and Accountabilities:
- Promptly, accurately, professionally and courteously receives 100% of all telephone calls and visitors.
- Promptly, accurately, professionally and courteously assesses 100% of received calls/inquiries and directs and/or records and relays messages.
- Adept at using all features of the telephone system and voice mail.
- Assists consumers/staff/volunteers/visitors with parking facilities
- When on duty, ensures the reception station is staffed 100% of the time.
- Signs for deliveries when necessary and notifies recipients.
- Maintains a thorough working knowledge of and adheres to organization/project policies, regulations and procedures.
- Keeps immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor.
- Respects confidentiality in discussing staff, visitors and organizational matters.
- Performs routine office tasks necessary for the operation and presentation of a professional office as observed by the supervisor.
- As needed, assists with clerical tasks to include typing, filing, proofreading, maintenance of service logs and data entry.
- Exhibits genuine concern for staff and always conducts oneself appropriately and professionally.
- Develops and maintains comprehensive knowledge of community resources; provides information, referrals and follow-up.
- Assists in other duties as needed and directed.
Selection Criteria:
- High school diploma;
- Minimum 1 year of relevant experience in Secretary/Receptionist work preferably with international organizations
- Knowledge of: Internet Explorer; Microsoft Excel; Lotus Notes; Microsoft Word; Windows Operating System.
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to write simple correspondence.
- Excellent communication skills and the ability to command both written and spoken of Myanmar language and English
